A call sheet is the plan for one shoot day: when each person arrives, where the location is, who to call, and what gets filmed in what order. Everyone on set should be able to answer their own questions from it.
This template has the call times, location, weather and nearest hospital on page two, the crew and cast lists on page three, a filled example for an interview shoot, and a checklist before you send it.
What is in it
| Section | What goes in it |
|---|---|
| Times | Crew call, talent call, shooting call, lunch and the estimated wrap |
| Location, weather and safety | Address, parking and access, the nearest hospital, sunrise, sunset and a rain plan |
| The day | Each scene or shot in order, with the time, the cast and where it happens |
| Crew | Every department with a name, a phone number and their own call time |
| Cast and talent | Arrival, hair and makeup, and on-set times |
| Notes | Safety, releases, permits, catering and kit |
| Worked example | A filled call sheet for a day of interviews at a customer’s office |
| Checklist and call times | Seven checks before sending, and how to stagger call times on a small crew |
How to use it
- Give every person their own call time. The people who set up arrive first. One call time for everyone means a slow start.
- Put the hospital on the sheet. The address and the phone number, not only the name.
- Plan lunch like a scene. A real time and a real length keep the afternoon honest.
- Send it the evening before. Then answer questions, do not rewrite the plan.
Before the shoot
The call sheet covers one day. The production schedule template covers the whole project, and the shot list template lists every shot you need to get. The video script template is where the shots come from.
If you would rather hand the shoot to a team that runs them every week, that is what we do at Moonb.
Frequently Asked Questions
A one-day plan for a shoot. It tells everyone when to arrive, where to go, who to call and what gets filmed when. The producer or assistant director writes it and sends it the evening before.
The evening before the shoot day. Early enough that people can plan their morning, late enough that the plan is final. If something changes overnight, send a new version and say what changed.
A production schedule covers the whole project, from the signed brief to delivery. A call sheet covers one shoot day in detail. Most productions have one schedule and one call sheet per shoot day.
