This Privacy Policy explains how Moonb collects, uses, stores, and protects personal data when you visit this website or interact with us.

1. Who we are

Moonb is a brand of Moonbow, Lda, a company registered in Portugal with tax number PT516326090. Registered office: Rua de Infantaria 16, 96, 1350-171 Lisboa, Portugal. Office: Rua da Prata 80, 3rd floor, 1100-420 Lisboa, Portugal. Moonbow, Lda is the data controller responsible for the personal data collected through this website. 2. Personal data we collect

We collect only the information that is necessary to operate our website, improve our services, or respond to enquiries. This may include:

  • Name
  • Email address
  • Company details
  • Information you provide through forms or messages
  • Technical data such as IP address, browser type, and device information
  • Website usage data collected through cookies and local storage, including which company a visit comes from
  • If you open a link from an email we sent you, which contact opened the page

We do not collect sensitive personal data.

3. How we use personal data

We process personal data for the following purposes:

  • To reply to enquiries and provide customer support
  • To operate and improve the website
  • To understand how visitors use the website
  • To prepare for calls you book with us
  • To send updates or materials only when you choose to subscribe
  • To comply with legal obligations

We do not sell personal data.

4. Legal basis under GDPR

We process personal data under the following lawful bases:

  • Consent when you submit forms or sign up for updates
  • Legitimate interest in operating and improving our website
  • Consent for analytics cookies, session recordings and company identification in the European Economic Area, the United Kingdom and Switzerland
  • Legitimate interest in understanding which companies are interested in our work (analytics outside those regions, which you can switch off at any time in the cookie settings) and in counting visits anonymously
  • Contractual necessity when you request information about our services
  • Legal compliance when required by law

5. Cookies and analytics

This website uses cookies and similar technologies to understand usage and improve performance. We use Google Analytics, Microsoft Clarity (heatmaps and session recordings, with form inputs masked), Ahrefs Web Analytics and our own visit analytics. Our own analytics keeps a random visit id in your browser, looks up which company a visit comes from using the IP address, and, if you book a call with us, links your visit history to that booking. This data is not anonymous. In the European Economic Area, the United Kingdom and Switzerland, Google Analytics cookies, Microsoft Clarity and our company identification run only after you accept them. Until you accept, and whenever you reject analytics, we only count your visit anonymously: the page you view and your country, with nothing stored on your device and without keeping your IP address. You can change your choice at any time with the cookie button in the bottom left corner of every page. Our Cookie Policy lists every tool in detail.

6. Data sharing

We share data with service providers who help us run the website and our business, in these categories: website hosting; web analytics and session recording; services that look up which company an IP address belongs to; email and calendar; call booking; contact form delivery; the database behind our internal tools; team messaging, for internal alerts; and AI services. These providers are required to follow GDPR rules and process data only according to our instructions. When you play a video, Vimeo or YouTube receive data under their own privacy policies. We do not share personal data with third parties for marketing.

7. Data storage and retention

We store personal data only for as long as necessary for the purposes stated above or as required by law. Website visit records (the pages viewed, where a visit came from and which company it came from) are kept for up to 25 months. The IP address on a visit record is removed after 30 days.

8. Your GDPR rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Restrict how we use your data in certain cases
  • Object to processing in certain cases
  • Withdraw consent at any time
  • Request a copy of your data in a portable format

We do not make decisions about you based solely on automated processing.

To use any of these rights, email hello@moonb.io. We reply within one month. You also have the right to complain to the data protection authority in the country where you live or work.

9. Recruitment and job applicants

When you apply for a role through our careers pages, we collect and process the personal data you provide so we can assess your application. This includes your name, email, LinkedIn profile, links to your reel, portfolio and CV, your answers to the application questions, and your work eligibility.

Why we process it. We process this data to review your application and to take steps at your request before entering into an employment contract, and on the basis of our legitimate interest in running a fair recruitment process. Providing this information is necessary for us to consider your application.

Your CV and links. We ask for a link to your CV rather than a file upload, so we hold a URL that you control rather than a copy of the document. Please do not include sensitive personal data (for example health, religion, or political views) in your application.

Who sees it. Your application is reviewed by the Moonb hiring team and stored in our recruitment tools and hosting provider, which act as our processors under GDPR and only process the data on our instructions.

How long we keep it. If we do not hire you, we keep your application for up to 1 year after your last contact with us, then delete or anonymise it. If you tick the optional consent box, we keep your details for up to 2 years to consider you for future roles, and you can withdraw that consent at any time.

Your rights. The rights set out in section 8 apply to your application data, including the right to access, correct, or delete it. To exercise them, or for any question about recruitment data, contact us at hello@moonb.io.

10. Data security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, and unauthorised access. While no method of transmission over the internet is fully secure, we follow industry standards to safeguard information.

11. International transfers

If personal data is transferred outside the European Economic Area we ensure that adequate safeguards are in place such as approved standard contractual clauses.

12. Third party links

Our website may link to external sites. We are not responsible for the privacy practices or content of those sites.

13. Changes to this Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page, and the date at the top of this page shows when it was last updated.
